Software for osteopaths and osteopathy clinics: your hands on the patient, not on the schedule.
ClinicPilot is configured for your osteopathy practice or clinic — first assessment, well-spaced sessions, maintenance check-ups and session packages — with AI that books and confirms appointments, lets each patient know when it’s time to come back, and deducts the session from their package. You stay focused on the treatment; the schedule sorts itself out.
We build it for you free. If you like it, you pay for it.
In production today in real clinical practices. For your clinic, configured with your own osteopathy techniques and timings.
AI built around the rhythm of osteopathy: well-spaced sessions and check-ups nobody forgets
In osteopathy, treatment isn’t daily: one, two or three weeks can pass between sessions, and the check-up comes months later. With that much time in between, patients lose track and appointments slip away. ClinicPilot’s AI keeps that calendar for you.
Every visit takes exactly as long as it should
A first assessment, with case history and examination, doesn’t take the same time as a follow-up session or a check-up. You set the length of each visit type and the AI books exactly that slot: no patients left waiting and no dead minutes in between.
The next session, exactly as far out as you set it
You finish the session, note “back in two weeks,” and the AI finds the slot, offers it to the patient and books it. If that day doesn’t suit them, it offers another — without anyone having to call.
Check-ups that don’t fall through the cracks
When you set a patient up for a maintenance check-up in three or six months, the AI reaches out as the date approaches and offers an appointment. They come back when it’s due — not only when something starts hurting again.
Reminders and packages, with no calls and no manual tallies
The AI reminds patients of every appointment and asks them to confirm; if someone cancels, the slot goes to the waitlist. And the 3- or 5-session package is deducted automatically on confirmation, with the balance right there on the patient record.
Structural, visceral or cranial: the software adapts to the way you treat
No templates designed for another specialty: before installing anything, we load your visit types and techniques with their durations, your packages and your real workflow — first assessment → treatment sessions → maintenance check-up. Each osteopath sets it up their own way, and the software works the way you do.
- Case history and osteopathic examination, with findings by body region and the techniques used in every session.
- Session packages and regular check-ups, with automatic deduction and a heads-up to the patient when it’s time to come back.
- A schedule for every practitioner, including clinics where osteopathy and physical therapy share treatment rooms.
- Adding a new technique or service? It goes in with its duration and its rate — no waiting for an update.
Your osteopathy services
Highlighted: the services an osteopathy clinic usually starts with. Anything else you offer is added the same way, with its own duration and rate.
The osteopathy record, from the first case history to the latest check-up
Weeks can pass between one session and the next, and when the patient comes back you need to know what you found and what you did. ClinicPilot keeps it all on their timeline — case history, examination, techniques used and response to treatment — instead of scattered across loose notes.
A full case history from the first visit
Presenting complaint, past history, medication, previous surgery and the red flags you want to rule out before treating, in fields you define yourself. Filled in once and at hand in every session.
Findings and techniques, session by session
In every session you record the examination by region, the techniques used — structural, visceral or cranial — and how the patient responded, with their pain score. At the next visit, what you did and how it has evolved are right in front of you.
Consent and HIPAA-ready by design
Informed consent signed on the patient’s phone before the techniques that require it, role-based access and full traceability. Your patients’ data — minors’ included — under lock and on your own installation, not in a third party’s cloud.
How much an osteopathy clinic saves with ClinicPilot
30% isn’t a slogan, and it’s just the floor: it’s administrative work the AI does on its own — above all, reminding patients, booking the next session and flagging every check-up. Adjust your two numbers and compare what you save with what ClinicPilot costs.
Cost to the clinic = salary + payroll taxes and benefits. The calculation uses 30%, the minimum workload ClinicPilot automates, and reaches 50% in clinics with heavy front-desk volume and several practitioners; this is what disappears:
Your osteopathy practice, on a server you share with no one
Every clinic has its own installation on its own dedicated server — in the United States for U.S. clinics, HIPAA-ready and with a signed Business Associate Agreement: your patients’ case histories, findings and recorded techniques are never mixed with anyone else’s. And they come out whenever you want, raw or already sorted data point by data point.
A server dedicated to your practice
Your installation lives on a dedicated server of its own — in the United States for U.S. clinics, HIPAA-ready and with a signed Business Associate Agreement. You don’t share a platform with thousands of clinics: if a global provider’s system goes down, they all go down at once; yours is independent, with its own backups, and your appointments and check-ups don’t stop because someone else’s cloud fails.
Your records come out raw, whenever you want
You can take the case histories, every session’s notes and the consent forms exactly as they are, in an open file you can read anywhere. If you ever decide to switch software, your records come with you instead of staying trapped in a format only your provider understands.
Sort every data point and measure your results
Or export them already classified: presenting complaint, region treated, techniques used, pain score at the start and at the end, and number of sessions to discharge, each on its own — ready to see how your patients respond or to prepare a study, with de-identified export when required (HIPAA for U.S. clinics, GDPR in the EU).

Between 30% and 50% of a two-person admin team’s workload comes to $2,700 to $4,500 a month in staff costs. ClinicPilot’s fee is a fraction of that, and the setup fee pays for itself within the first month.
The fee includes direct support, updates, the AI and dedicated hosting. Nothing is charged per schedule or per module — that’s the generic-SaaS game, not ours.
* The agent in the custom-project plan reasons with Claude, GPT and Gemini, which are external services: for it to work, the data for the task you assign it leaves your clinic’s server. That API is contracted in your clinic’s own name, so you decide what gets sent to it and who is accountable for it — not an intermediary. The medical record stays on your own dedicated server — in the United States for U.S. clinics: the agent is only given the minimum data needed for each task, under a data-processing agreement and the international-transfer safeguards the GDPR requires for health data. The in-house AI agent in the $580 and $980 plans uses none of this: it runs inside your own installation and doesn’t take any data out of the server.
What osteopaths ask us
How much does ClinicPilot cost for an osteopath working solo?
The $580/month plan includes 2 users — for example, you and whoever runs your schedule — with the scheduling AI, patient records, payments, invoicing and consent forms. Setup is a fixed $2,000, with your patient migration included, and you’re live in 5–7 days. If your clinic grows and needs more users, you move to the $980/month plan, with 5.
Are the patient records adapted to osteopathy?
Yes. They’re configured with your own fields: case history with past history and red flags, examination by region, findings, the techniques used in each session — structural, visceral or cranial — and the patient’s response, with their pain score. Everything sits on the patient’s timeline, so at the check-up a few months later you know exactly what you did.
Does it work for a clinic where osteopaths and physical therapists work together?
Yes. Each practitioner has their own schedule, visit types and durations, and the AI allocates appointments without ever putting two patients in the same room at once. Packages are defined per service — osteopathy, physical therapy or combined — and each user only sees what their role allows. Everyone counts as a user on the plan: osteopaths, physical therapists and front desk.
Does it handle session packages and regular check-ups?
Yes. You define the package — for example, 3 or 5 sessions — it’s sold straight from the quote, and each session is deducted automatically when the appointment is confirmed, with the balance visible on the patient record and at checkout. For check-ups, you set when the patient should come back and the AI writes to them as the date approaches, offers an appointment and reminds them of it so they don’t miss it.
Can you bring my patients over from the software or spreadsheet I use now?
Yes. Patient migration is included in the setup: we import from your current software or from Excel and check for duplicates. You don’t close the practice for a single day, because the switch happens in parallel, and it takes 5 to 7 days from the analysis to being up and running.
Where are my patients’ records stored? What happens if the provider’s server goes down?
Every clinic has its own installation on a server dedicated only to it, or on its own infrastructure: that is where your patients’ case histories and session notes live. For U.S. clinics, dedicated servers are hosted in the United States, HIPAA-ready and covered by a signed Business Associate Agreement; clinics in the European Union are hosted in Germany, under the GDPR. You don’t share a platform with thousands of clinics, so a global provider’s system-wide outage doesn’t affect you: your installation is independent and has its own backups. And your data is always exportable, so it’s never held hostage.
Can I export my patients’ data to measure outcomes or run a study?
Yes. You can export the information raw, exactly as it is, or request it already classified data point by data point — presenting complaint, region treated, techniques used, pain score and number of sessions — to build your clinic’s database and use it in your studies. For research it can be exported de-identified — in line with HIPAA for U.S. clinics, and with the GDPR for clinics in the EU.
Can I manage the clinic’s email, WhatsApp and documents from the system itself?
On the custom-project plan, yes, if the clinic chooses to: the clinic’s email, WhatsApp and Google Drive are integrated into the system, and a custom agent is built that reasons with Claude, GPT and Gemini: it sorts email, handles patients over WhatsApp, books the next session and the check-ups and prepares package quotes, carrying out the whole task and only notifying you when a decision is actually needed. You define where that line sits: nothing reaches a patient without the level of review you decide, and the agent handles administration, never clinical judgment. That agent reasons with external services, so the data for each task leaves the server: the API is contracted in the clinic’s own name, under a data-processing agreement and sharing only the minimum data needed for each task, and the patient record stays on your own dedicated server — in the United States for U.S. clinics. The $580 and $980 plans have an in-house AI agent that helps the admin team book appointments, check the schedule and resolve questions: it runs inside the installation itself and doesn’t take any data out of the server.
