Software for dermatology: the moles that change, seen in time.
Medical records built for the skin, with a body map of lesions where you keep dermoscopy and photos from every check-up, and an AI that compares your nevi over time and flags the ones that change — on top of booking, moving and confirming appointments on its own.
We build it for you free. If you like it, you pay for it.
Made by a medical team. It’s not a promise: it’s how we work.
An AI that watches for changing moles and fills the schedule on its own
In dermatology, the key isn’t just filling the schedule: it’s never losing sight of the lesion that’s evolving. ClinicPilot’s AI compares each patient’s images and alerts you, while it books and confirms appointments for you.
Changing moles, flagged by AI
ClinicPilot keeps an image of every nevus from visit to visit, and the AI compares them to flag the ones that change in size, shape or color. A decision-support aid to prioritize suspicious lesions — the diagnosis is always yours.
Dermoscopy and photos in their place
Every lesion is placed on the body map, with its clinical photo and its dermoscopy image saved to the record, dated. No phone camera rolls or loose folders: everything lives on the patient’s timeline, ready to compare.
The annual skin check-up that books itself
Mole-surveillance patients have their annual review: the AI notifies each one when their year is up and offers them a slot. Recurring bookings that come in on their own, with no one combing through lists.
The schedule and the operating room, in sync
Consultations, dermoscopy and dermatological surgery (excisions, biopsies, cryotherapy) fitted together without overlaps. A mid-morning cancellation? The AI fills the slot from the waitlist and tightens up the day.
Your lesions, your circuits, your timings
No generic templates: before installing anything, we load your procedures with their durations, their rooms and their full circuits — visit → dermoscopy → decision → surgery, cryotherapy or follow-up. Dermatological surgery, aesthetic dermatology or teledermatology: every doctor adjusts it to how they work.
- Every lesion on the body map, with its location, its dermoscopy and its photos tied to the date.
- Dermatological surgery and biopsies with operating-room reports, pathology follow-up and pre-/post-op circuits.
- Consent per procedure, generated the moment the appointment is booked and signed from the phone or a tablet.
- And if you add a new area tomorrow, it comes in with its timings, its room and its consent form. No waiting on anyone.
Your areas of work
The first ones are already in production in real clinics today. The rest are configured the same way: same modules, your concepts, your timings.
See the mole that’s changing before the patient notices
Melanoma comes down to change. ClinicPilot brings together the dermoscopy and photos of every lesion on a body map and lets the AI do the heavy lifting: comparing visit to visit and flagging which nevus is evolving.
Body map: mark every lesion
On a body diagram you mark every nevus and every lesion — with its location, its dermoscopic description and the date. At the next visit you see at a glance what was there, where, and how it looked then.
Nevus tracking, compared by AI
Each check-up adds an image to the lesion. The AI compares the series and flags the moles that change in size, shape or color. A decision-support aid to prioritize suspicious cases and decide who to review first, always under your judgment.
Dermoscopy and teledermatology, HIPAA-ready
Keep the dermoscopy and photos on each lesion’s timeline, and assess images that arrive through teledermatology whenever suits you. All with signed consent forms, role-based access, and locked down on your own installation — not on a third party’s cloud.
How much a dermatology clinic saves with ClinicPilot
30% isn’t a slogan, and it’s just the floor: it’s administrative work the AI does on its own — above all, reminding patients of every annual skin check and coordinating office and procedures. Adjust your two numbers and compare what you save with what ClinicPilot costs.
Cost to the clinic = salary + payroll taxes and benefits. The calculation uses 30%, the minimum workload ClinicPilot automates, and reaches 50% in practices with heavy front-desk volume and many mole checks to track; this is what disappears:
Your lesion maps and images, on a server of your own
Every practice has its own installation on its own dedicated server — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement: your patients’ body maps, dermoscopy images and photos are never mixed with anyone else’s. And they come out whenever you want, raw or classified lesion by lesion.
One server just for your practice
Your installation lives on a dedicated server of its own — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement. You don’t share a platform with thousands of clinics: if a global provider’s system goes down, they all go down at once; yours is independent, with its own backups, and your check-up and skin-surgery schedule doesn’t stop because someone else’s cloud fails.
Your images and records come out raw
You can take the records, the lesion map and every nevus’s image series exactly as they are, in open files you can read anywhere. Nothing stays trapped in a format only your provider understands.
Classify every lesion and study its progress
Or export them already classified: location, dermoscopic description, date of each check, biopsy and pathology result, each on its own — ready to build your series or prepare a study, with de-identified export when required (HIPAA for U.S. practices, GDPR in the EU).

Between 30% and 50% of a three-person admin team’s workload comes to $4,000 to $6,750 a month in staff costs. ClinicPilot’s fee is a fraction of that, and the setup fee pays for itself within the first month.
The fee includes direct support, updates, the AI and dedicated hosting. Nothing is charged per schedule or per module — that’s the generic-SaaS game, not ours.
* The agent in the custom-project plan reasons with Claude, GPT and Gemini, which are external services: for it to work, the data for the task you assign it leaves your clinic’s server. That API is contracted in your clinic’s own name, so you decide what gets sent to it and who is accountable for it — not an intermediary. The medical record stays on your own dedicated server — in the United States for U.S. clinics: the agent is only given the minimum data needed for each task, under a data-processing agreement and the international-transfer safeguards the GDPR requires for health data. The in-house AI agent in the $580 and $980 plans uses none of this: it runs inside your own installation and doesn’t take any data out of the server.
What dermatology clinics ask us
Does it keep photos and dermoscopy in the patient record?
Yes. Every lesion is placed on a body map, with its location, its clinical photo and its dermoscopy image saved to the record, dated. It’s not a phone’s camera roll or loose folders: the images live on the patient’s timeline, ready to compare at the next visit.
Does it track moles over time and flag the ones that change?
Yes. ClinicPilot keeps the images of every nevus from visit to visit, and the AI compares them to flag moles that change in size, shape or color. It’s a decision-support aid that helps you prioritize suspicious lesions and decide who to review first; the judgment and diagnosis are always yours.
Is the medical record adapted to dermatology?
Yes. It’s not a generic record: it logs the lesion, its location on the body map, the dermoscopic description and the photos from every check-up, along with whichever circuits you use — dermatological surgery, cryotherapy, biopsy or aesthetic dermatology. Every field is built for the skin.
Does it support teledermatology with images?
Yes. The patient or the referring doctor sends images of the lesion, and they’re attached to the record so you can assess them remotely, with no need to travel. The outcome, the response, and, if needed, the in-person dermoscopy appointment are all logged in the same record, with full HIPAA-ready safeguards.
How long does setup take?
5 to 7 days from the analysis to being live and running, with patient migration included and without ever stopping the practice.
Where are my patients’ images and data stored? What happens if the provider’s server goes down?
Every practice has its own installation on a server dedicated only to it, or on its own infrastructure: that is where your patients’ lesion maps, dermoscopy images and photos live. For U.S. practices, dedicated servers are hosted in the United States, HIPAA-ready and covered by a signed Business Associate Agreement; practices in the European Union are hosted in Germany, under the GDPR. You don’t share a platform with thousands of clinics, so a global provider’s system-wide outage doesn’t affect you: your installation is independent and has its own backups. And your data is always exportable, so it’s never held hostage.
Can I export lesion follow-up data for a study?
Yes. You can export the information raw, exactly as it is, or request it already classified data point by data point —location, dermoscopic description, checks, biopsies and pathology— to build your practice’s database and use it in your studies. For research it can be exported de-identified — in line with HIPAA for U.S. practices, and with the GDPR for practices in the EU.
Can I manage the clinic’s email, WhatsApp and documents from the system itself?
On the custom-project plan, yes. The clinic’s email, WhatsApp and Google Drive are integrated into the system, and a custom agent is built that reasons with Claude, GPT and Gemini: it sorts email, handles patients over WhatsApp, books check-ups and procedures and prepares quotes, carrying out the whole task and only notifying you when a decision is actually needed. You define where that line sits: nothing reaches a patient without the level of review you decide, and the agent handles administration, never clinical judgment. That agent reasons with external services, so the data for each task leaves the server: the API is contracted in the clinic’s own name, under a data-processing agreement and sharing only the minimum data needed for each task, and the medical record stays on your own dedicated server — in the United States for U.S. clinics. The $580 and $980 plans have an in-house AI agent that helps the admin team book appointments, check the schedule and resolve questions: it runs inside the installation itself and doesn’t take any data out of the server.
