Software for dental practices: the schedule fills itself.
ClinicPilot is configured for your dental clinic — chart, treatment plans, multiple chairs and doctors — with AI that books, moves and confirms appointments for you, and notifies each patient when it’s time for a check-up or a cleaning.
We build it for you free. If you like it, you pay for it.
Built by a medical team that lives a clinic’s day-to-day. Not a promise: it’s how we work.
An AI that fills the dental schedule without anyone calling
In a dental clinic, every empty slot is an idle chair, and every unnotified check-up is a patient who doesn’t come back. ClinicPilot’s AI works on both, all day long.
Every procedure, its slot and its room
Cleaning 30 minutes, root canal 45, implant 60, first visit 30… every procedure has its real duration and its chair. The AI always assigns the right slot and coordinates several doctors with no overlaps.
No chair sits idle
A cancellation mid-morning? The AI offers the slot to the waitlist and compacts the day. Dead gaps between patients disappear on their own and the room never sits empty.
Check-ups and cleanings that come back on their own
A year since the last check-up, or six months since the last cleaning: the AI notifies each patient when it’s their turn and offers them a slot. The recurring booking that gets lost most often in dental care comes in on its own here.
Treatment plans without spreadsheets
The phased plan becomes a quote with your prices per procedure, and as the patient accepts and progresses, each phase books and bills itself. Accepted, pending and completed always in view.
Your chart, your procedures, your prices
No generic templates: the chart is the center of the record. On it you log tooth-by-tooth status, mark what’s been done and plan what’s pending, and from there the treatment plan is born, by phases → quote → appointment → payment. Every doctor configures it with their own procedures, timings and prices.
- Chart and periodontal chart, with the status of every tooth and probing records.
- Phased treatment plans that turn into a quote and get booked and billed as they’re accepted.
- Consent per procedure, generated straight from the appointment and signed from the phone.
- And if you add a specialty tomorrow (orthodontics, implantology…), it’s added with its procedures, its timings and its consent form. No waiting on anyone.
Your procedure menu
Every procedure with its duration, its room and its price. All configured the same way: same modules, your concepts, your timings.
X-rays, chart and progress in a single record
In dentistry, the patient’s record is their mouth over the years. ClinicPilot keeps everything where it belongs: on the record, tied to every tooth and every treatment — not in loose folders.
X-rays and images by tooth
Periapicals, panoramics, intraoral photos and documents stay on the record, tied to the tooth and the treatment, with a date. Ready to compare at the next visit without digging through any drawer.
An evolving chart
The status of every tooth changes over time and is logged: what’s done, what’s planned and what’s pending. The patient’s full history reads at a glance, year by year.
HIPAA-ready by design
Signed consent forms, role-based access and full traceability. Your patients’ data and images, under lock and on your own installation — not on a third party’s cloud.
How much a dental practice saves with ClinicPilot
30% isn’t a slogan, and it’s just the floor: it’s administrative work the AI does on its own — above all, reminding patients of every check-up and cleaning and keeping chairs busy. Adjust your two numbers and compare what you save with what ClinicPilot costs.
Cost to the clinic = salary + payroll taxes and benefits. The calculation uses 30%, the minimum workload ClinicPilot automates, and reaches 50% in practices with heavy front-desk volume and many recalls to track; this is what disappears:
Your X-rays and dental charts, on a server of your own
Every practice has its own installation on its own dedicated server — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement: your patients’ X-rays, dental charts and treatment plans are never mixed with anyone else’s. And they come out whenever you want, raw or classified tooth by tooth.
One server just for your practice
Your installation lives on a dedicated server of its own — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement. You don’t share a platform with thousands of clinics: if a global provider’s system goes down, they all go down at once; yours is independent, with its own backups, and your chair schedule doesn’t stop because someone else’s cloud fails.
Your X-rays and records come out raw
You can take each patient’s records, X-rays and dental chart exactly as they are, in open files you can read anywhere. If you switch software tomorrow, nothing stays trapped in a format only your provider understands.
Classify every tooth and study your treatments
Or export them already classified: tooth, treatment, plan phase, probing, date and progress, each on its own — ready to analyze your treatments or prepare a study, with de-identified export when required (HIPAA for U.S. practices, GDPR in the EU).

- Custom service-level agreement
Between 30% and 50% of a three-person admin team’s workload comes to $4,000 to $6,750 a month in staff costs. ClinicPilot’s fee is a fraction of that, and the setup fee pays for itself within the first month.
The fee includes direct support, updates, the AI and dedicated hosting. Nothing is charged per schedule or per module — that’s the generic-SaaS game, not ours.
* The agent in the custom-project plan reasons with Claude, GPT and Gemini, which are external services: for it to work, the data for the task you assign it leaves your clinic’s server. That API is contracted in your clinic’s own name, so you decide what gets sent to it and who is accountable for it — not an intermediary. The medical record stays on your own dedicated server — in the United States for U.S. clinics: the agent is only given the minimum data needed for each task, under a data-processing agreement and the international-transfer safeguards the GDPR requires for health data. The in-house AI agent in the $580 and $980 plans uses none of this: it runs inside your own installation and doesn’t take any data out of the server.
What dental clinics ask us
Does it have a dental chart and periodontal chart?
Yes. Every patient has their own chart with tooth-by-tooth status, and it logs treatments performed and planned. The periodontal chart is included for clinics that do periodontics, with probing records per tooth.
Does it manage treatment plans and quotes?
Yes. From the chart you generate the treatment plan with its phases, turn it into a quote with your prices per procedure, and as the patient accepts and progresses, each phase gets booked and billed. The status — accepted, pending or completed — is always in view.
Does it work for several chairs and several doctors at once?
Yes. The schedule manages several rooms or chairs in parallel, with the workload of every doctor, hygienist and assistant. The AI assigns each procedure to its room and its real duration, and prevents overlaps and dead gaps between patients.
Does it notify patients about check-ups and cleanings?
Yes. The annual check-up and periodic cleaning are scheduled as recurring bookings: the AI contacts each patient when it’s their turn and offers them a slot, with no one combing through lists. It’s the source of appointments most often lost in a dental clinic, and here it comes in on its own.
Does it generate consent for each treatment?
Yes. Every procedure (implant, root canal, extraction, orthodontics…) has its informed consent form attached; it’s generated the moment the appointment is booked and the patient signs it from their phone or a tablet, with a complete audit trail.
How long does setup take?
5 to 7 days from the analysis to being live and running, with patient migration included and without ever stopping the practice.
Where are X-rays and dental charts stored? What happens if the provider’s server goes down?
Every practice has its own installation on a server dedicated only to it, or on its own infrastructure: that is where your patients’ X-rays, dental charts and records live. For U.S. practices, dedicated servers are hosted in the United States, HIPAA-ready and covered by a signed Business Associate Agreement; practices in the European Union are hosted in Germany, under the GDPR. You don’t share a platform with thousands of clinics, so a global provider’s system-wide outage doesn’t affect you: your installation is independent and has its own backups. And your data is always exportable, so it’s never held hostage.
Can I export dental chart and treatment data for a study?
Yes. You can export the information raw, exactly as it is, or request it already classified data point by data point —tooth, treatment, plan phase, probing and progress— to build your practice’s database and use it in your studies. For research it can be exported de-identified — in line with HIPAA for U.S. practices, and with the GDPR for practices in the EU.
Can I manage the clinic’s email, WhatsApp and documents from the system itself?
On the custom-project plan, yes. The clinic’s email, WhatsApp and Google Drive are integrated into the system, and a custom agent is built that reasons with Claude, GPT and Gemini: it sorts email, handles patients over WhatsApp, books check-ups and treatments and prepares phased quotes, carrying out the whole task and only notifying you when a decision is actually needed. You define where that line sits: nothing reaches a patient without the level of review you decide, and the agent handles administration, never clinical judgment. That agent reasons with external services, so the data for each task leaves the server: the API is contracted in the clinic’s own name, under a data-processing agreement and sharing only the minimum data needed for each task, and the medical record stays on your own dedicated server — in the United States for U.S. clinics. The $580 and $980 plans have an in-house AI agent that helps the admin team book appointments, check the schedule and resolve questions: it runs inside the installation itself and doesn’t take any data out of the server.
