Software for orthopedics and trauma: the imaging and the progress, right where they belong.
Medical records built for traumatology and orthopedics, with X-rays and MRIs linked to each joint and an AI that tracks each patient’s recovery and flags who isn’t progressing as expected — on top of booking, moving and confirming appointments on its own.
We build it for you free. If you like it, you pay for it.
Built by a medical team, designed for the practice and the operating room. It’s not a promise: it’s how we work.
An AI that tracks every patient’s recovery
In traumatology, the key isn’t just keeping the schedule full: it’s never losing sight of the patient who isn’t progressing as expected. ClinicPilot’s AI reads the functional scores and every check-up, and flags it in time — always under your judgment.
Functional scores tracked with AI
Every functional score and every check-up builds the patient’s progress curve. The AI compares it with what’s expected after that injury or surgery and flags whoever is recovering slower than predicted, without you reviewing histories by hand.
Flags whoever isn’t progressing well
The AI cross-references each post-op patient’s progress with similar cases and marks the patient who’s falling behind. A decision aid to bring a check-up forward or adjust the plan — you’re always the one who decides and treats.
The practice and the operating room, coordinated
First visits, injections, post-op check-ups and surgery (arthroscopy, prosthesis) fitted together with no overlaps. A cancellation mid-morning? The AI fills the slot from the waitlist and compacts the day.
Check-ups that come in on their own
The 6-week check-up, the one-year prosthesis review: the AI notifies each patient when it’s their turn and offers them a slot. Recurring bookings that come in on their own, with no one combing through lists or calling patients one by one.
Every joint, with its own tests and circuits
No generic templates: we load your procedures and tests with their durations, their rooms and their full circuits — first visit → imaging (X-ray, CT, MRI) → decision → injection, surgery or check-up. Knee, hip, shoulder, spine or hand: every doctor sets it up their own way.
- Imaging on the record: X-rays, CT and MRI scans linked to the joint and its date, ready to compare.
- Surgical scheduling (arthroscopy, prosthesis) with surgery reports and pre-/post-op circuits.
- Consent per procedure, generated straight from the appointment and signed from the phone or tablet.
- And if you add a new area tomorrow, it’s added with its tests, its timings and its consent form. No waiting on anyone.
Your areas and surgeries
Each one with its tests, its timings and its room. They’re all configured the same way: same modules, your concepts, your way of working.
X-rays and MRIs, on the record
In traumatology, the image is the record. ClinicPilot keeps every X-ray, CT and MRI scan linked to its joint and its date — not on a CD, not in a folder on the computer, and not lost in the PACS.
Imaging linked to the joint
Every X-ray, CT or MRI scan is saved against the joint it belongs to, with its date. At the next visit you see the full series for that knee or that hip at a glance, and compare before and after without searching anywhere.
Scores and progress, with AI
Functional scores and the notes from every check-up go on the patient’s timeline, and the AI reads that progress: it compares it with what’s expected and flags the post-op patient who isn’t advancing as they should. The decision is always under medical judgment.
HIPAA-ready by design
Signed consent forms, role-based access and full traceability. Your patients’ images and records, under lock and on your own installation — not on a third party’s cloud.
How much an orthopedic practice saves with ClinicPilot
30% isn’t a slogan, and it’s just the floor: it’s administrative work the AI does on its own — above all, booking every post-op check-up and fitting office visits, injections and OR together. Adjust your two numbers and compare what you save with what ClinicPilot costs.
Cost to the clinic = salary + payroll taxes and benefits. The calculation uses 30%, the minimum workload ClinicPilot automates, and reaches 50% in practices with heavy front-desk volume and many post-op follow-ups; this is what disappears:
Your patients’ imaging and progress, on a server of your own
Every practice has its own installation on its own dedicated server — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement: your patients’ X-rays, MRIs and functional scores are never mixed with anyone else’s. And they come out whenever you want, raw or classified joint by joint.
One server just for your practice
Your installation lives on a dedicated server of its own — in the United States for U.S. practices, HIPAA-ready and with a signed Business Associate Agreement. You don’t share a platform with thousands of clinics: if a global provider’s system goes down, they all go down at once; yours is independent, with its own backups, and your office, injection and OR schedule doesn’t stop because someone else’s cloud fails.
Your imaging and records come out raw
You can take the records and every joint’s X-rays, CT and MRI scans exactly as they are, in open files you can read anywhere. Nothing stays trapped in a format only your provider understands.
Classify every joint and study recovery
Or export them already classified: joint, injury, surgery, functional scores at each follow-up and progress, each on its own — ready to measure your results or prepare a study, with de-identified export when required (HIPAA for U.S. practices, GDPR in the EU).
Pricing for traumatology practices

- Custom service-level agreement
Between 30% and 50% of a three-person admin team’s workload comes to $4,000 to $6,750 a month in staff costs. ClinicPilot’s fee is a fraction of that, and the setup fee pays for itself within the first month.
The fee includes direct support, updates, the AI and dedicated hosting. Nothing is charged per schedule or per module — that’s the generic-SaaS game, not ours.
* The agent in the custom-project plan reasons with Claude, GPT and Gemini, which are external services: for it to work, the data for the task you assign it leaves your clinic’s server. That API is contracted in your clinic’s own name, so you decide what gets sent to it and who is accountable for it — not an intermediary. The medical record stays on your own dedicated server — in the United States for U.S. clinics: the agent is only given the minimum data needed for each task, under a data-processing agreement and the international-transfer safeguards the GDPR requires for health data. The in-house AI agent in the $580 and $980 plans uses none of this: it runs inside your own installation and doesn’t take any data out of the server.
What traumatology practices ask us
Can I store X-rays and MRI scans on the patient record?
Yes. Every X-ray, CT or MRI scan is saved on the patient’s record, linked to the joint and its date, on the same timeline. You compare the before and after image at a glance, without searching through folders or the PACS.
Does the AI help track the patient’s recovery?
Yes. Using the functional scores and the follow-up from every check-up, the AI compares progress with what’s expected and flags the patient who isn’t advancing as they should. It’s a decision aid: you’re always the one who decides and treats, under medical judgment.
Does it schedule surgery, arthroscopy and prosthesis procedures?
Yes. It schedules the operating room with its surgery reports and the full pre- and post-operative circuits: knee or shoulder arthroscopy, hip or knee prosthesis, each procedure with its duration and its equipment, with no overlaps with the practice’s schedule.
Does it coordinate with rehab and notify about check-ups?
Yes. It logs coordination with rehab on the record and schedules follow-up check-ups (post-op controls, prosthesis reviews) as recurring bookings that come in on their own, with no one combing through lists or calling patients one by one.
How long does setup take?
5 to 7 days from the analysis to being live and running, with patient migration included and without ever stopping the practice.
Where is my patients’ imaging stored? What happens if the provider’s server goes down?
Every practice has its own installation on a server dedicated only to it, or on its own infrastructure: that is where your patients’ X-rays, MRIs and records live. For U.S. practices, dedicated servers are hosted in the United States, HIPAA-ready and covered by a signed Business Associate Agreement; practices in the European Union are hosted in Germany, under the GDPR. You don’t share a platform with thousands of clinics, so a global provider’s system-wide outage doesn’t affect you: your installation is independent and has its own backups. And your data is always exportable, so it’s never held hostage.
Can I export my surgical patients’ scores and progress for a study?
Yes. You can export the information raw, exactly as it is, or request it already classified data point by data point —joint, injury, surgery, functional scores and progress— to build your practice’s database and use it in your studies. For research it can be exported de-identified — in line with HIPAA for U.S. practices, and with the GDPR for practices in the EU.
Can I manage the clinic’s email, WhatsApp and documents from the system itself?
On the custom-project plan, yes. The clinic’s email, WhatsApp and Google Drive are integrated into the system, and a custom agent is built that reasons with Claude, GPT and Gemini: it sorts email, handles patients over WhatsApp, books check-ups and injections and prepares surgery quotes, carrying out the whole task and only notifying you when a decision is actually needed. You define where that line sits: nothing reaches a patient without the level of review you decide, and the agent handles administration, never clinical judgment. That agent reasons with external services, so the data for each task leaves the server: the API is contracted in the clinic’s own name, under a data-processing agreement and sharing only the minimum data needed for each task, and the medical record stays on your own dedicated server — in the United States for U.S. clinics. The $580 and $980 plans have an in-house AI agent that helps the admin team book appointments, check the schedule and resolve questions: it runs inside the installation itself and doesn’t take any data out of the server.
